Scanning
What does it do?
The Cynare Document Management System includes a scanning solution
Documents are scanned and routed automatically to the appropriate place in DMS
The scanning solution captures metadata which is embedded in the document, for example
- Office location
- Date
- Document type
- Client code
- Client name
How is it different?
We use desktop scanners connected to Users’ computers
We prefer particular scanner makes, as some allow a far greater level of automation than others
At the basic level, we can automate the scanning process using the free software which came with the scanner
If more granular automation is required, we may update the free software to a more able version of the software for a small cost
We provide an alerting system to notify Users should anything untoward happen
What are the benefits?
Speed, simplicity, accessibility, usability, flexibility, cost
How does it work?
The metadata is used in automated workflows which deal with document actions, approvals and allocations to colleagues and Clients
How much does it cost?
The cost depends upon
- the number of scanners required in each office
- the level of automation required
This is determined in the discovery phase of the project
What is the technology?
We use the built-in scanning software and connect it to Microsoft 365 using our CynareLink integration database
The metadata is gathered and transferred as xml
